TRAVEL

FLIGHTS

All flights (including plus ones) will be departing from our hub cities.  In registration, you will select your choice of our hub airports for yourself and your plus one.  If you are fully remote, your plus one can fly from a hub or the same airport as you.

 

PASSPORTS

Please double check that you and your plus one’s passport’s will be valid for the entire duration of the trip. It is best practice to also ensure that your passport will not expire within 6 months of our travel dates of January 30th – February 2nd, 2025. 

 

Understand that NOW is the time to avoid any “passport panic” moments if you need a new passport or replacement.  According to the US Department of State, it is currently taking minimum 8-12 weeks to obtain a passport, and the expediting process is 6-7 weeks.  Of course with the holidays coming up, these processing times may increase.  So you have time, but please start the process ASAP:

  • If you and/or your plus one needs to Renew your passport or it expires within 6 months of travel, we highly encourage you to start the process now. For Passport Renewals and Replacements CLICK HERE.

  • If you and/or your plus one does NOT have a passport, you also need to start that process now, and I encourage you to look into expediting the process.  For all info on how to apply for a Passport CLICK HERE.

 

EXPENSE REIMBURSEMENTS 

Below, you’ll find a breakdown of the allowable expenses any applicable expense categories for your reference. All expenses must be submitted within 7 days after returning from the trip and you will need a receipt where the amount is clearly listed and matches the amount noted on the expense report.

  1. Baggage: Please include any expenses related to baggage fees under the Transportation category.

  2. Ubers/Lyft to airport: Please include any expenses associated with transportation services, such as Ubers or transportation to the airport, under the Transportation category.

  3. Airport Parking: Any parking expenses incurred during the trip can be listed under the Transportation category.
